Calabash PTO Elections

 

Per our PTO by-laws, we must hold elections on an annual basis for all executive board positions.  Officers are elected for a one-year term but may be re-elected each year.  Nomination forms are available in February, and elections will take place at our March membership meeting. To serve as an elected officer, candidates must have at least one year of previous experience on the Board. Details about the elected Executive Board positions are below.

Interested in being on the Board? The Exec Board will appoint new board members in the spring. To serve on the PTO Board, we request that individuals have shown a sustained involvement with PTO or volunteering at the school. For those who may not be ready to join the Board, but who are interested in chairing an event, being a future room parent, or overseeing a program for PTO next year, please let us know! President

  • Preside at all meetings of executive board & membership;  prepare meeting agendas

  • Prepare annual budget and present to membership for approval

  • Establish calendar of all PTO events with Principal

  • Serve as Lead Room Parent and guide/oversee room parents

  • Review & approve all PTO expenses

  • Chief liaison between Principal, PTO board & membership

  • Seek out & appoint event chairs and program coordinators

  • Oversee annual events and committees, providing support as needed

  • Manage all LAUSD permit applications for PTO events

  • Create monthly PTO newsletter
     

Vice President

  • Willing and ready to assume the President’s position if s/he can no longer serve

  • Provide support to President and all event chairs and coordinators

  • Maintain list of current PTO members & bring to all membership meetings

  • Track attendance at PTO meetings, ensuring that voting is restricted to PTO members
     

Secretary

  • Record and maintain minutes from all membership meetings

  • Read the minutes from the previous meeting at all membership meetings

  • Provide written support to PTO in any capacity where note-taking or record-keeping of committee reports is warranted

Treasurer

  • Manage finances of PTO;  tracking gross income, receipts and disbursements

  • Maintain PTO checkbook and pay all bills as authorized by the President & Secretary

  • Prepare and present Treasurer’s Report at all executive and membership meetings, reflecting all receipts & disbursements since last meeting

  • Prepare & file PTO’s taxes

  • Review all PTO expenses/payments (with authorization of President)
